Office Manager Mission

Provide advanced administration leadership to assist company in achieving budgeted financial goals, providing uncompromised customer support and general administrative support to all employees, vendors, customers in a professional positive demeanor.

Responsibilities

Manage the day-to-day business operations of the office, reporting directly to the owner.
Process and track orders; communicate with team members and clients on all escalated orders and service.
Perform basic accounting functions as needed; utilize Quickbooks and CRM and keep records up-to-date.
Manage CRM database & records; develop, implement and distribute daily & weekly business reports.
Handle & route incoming calls, emails, voicemails; interface with clients to meet various needs.
Update client notes, interactions, correspondence, and information in CRM database.
Maintain sufficient inventory of office supplies; arrange for maintenance and repair of office equipment.
Handle and implement special projects, such as coordinating implementation of new tools, such as hardware or software systems.

Outcomes & Achievements

After 30 days- Be comfortable with the office operation. Obtain business operation knowledge sufficient to answer customer inquiries, log on and locate information from support systems. Be able to generate POs, sales & service orders, and invoices for work performed.
After 60 days- Be assigned 3-5 strategic goals (become familiar with the principles of “Mastering the Rockefeller Habits”). View all online training videos for CRM. Develop rapport with team members, and feel comfortable with raising ideas for improving positions, performance, and operations.
After 90 days- Participate in enhancing companies’ strategic goals and objectives.

Experience & Education

Required Education - High School diploma, with some college courses. Preferred Education - Bachelor’s Degree.
Required Experience - 3+ years of experience as an Office Manager. Preferred Experience - 5 + years total experience at 2 different companies.
Must have intermediate experience using MS Office products (Word, Outlook, Excel, PowerPoint).
Ability to use a CRM database & Quickbooks.
